The emails your guests receive

Every email Campiamo sends to a guest on your behalf: what triggers it, what it says, which ones you can switch on or off, and where replies go.

Campiamo writes to your guests for you: when they book, when they pay, before they arrive, after they leave. Each email is sent in your site's name and language, with your email address as the reply-to, so a guest who replies reaches you, not us. This page lists them all.

Every one of these is included on every plan, from the free plan up, unless a note below says otherwise.

Around the booking

Email When it goes Who gets it
Booking confirmation The moment a booking is confirmed: paid online, confirmed by you, or made as a walk-in at the desk. Every guest with an email address.
Booking received Instead of the confirmation, when a booking is waiting: for payment, or for you to confirm it. The confirmation follows once it's confirmed. Same.
Booking updated When a guest changes their own booking online, or when you edit a booking and tick Email the guest their updated booking. Carries the dates and the new total. Same.
Booking cancelled When a booking is cancelled, by you or by the guest. Same.
What's on during your stay When a booking is confirmed over the dates of an event you've added, with the information you wrote. Guests whose stay overlaps the event. Growth plan and above.

The confirmation carries the reference, the pitch type, dates and times, the party, the total, and a link to manage the booking where guests may edit their own bookings.

Money

Email When it goes
Payment link When you choose "send payment link" on a new booking, request a balance from the booking page, or collect a balance after an edit. The guest pays online from the link.
Payment confirmation When a payment succeeds online.
Balance reminder Before check-in, on the days you choose, while a balance is outstanding. On by default; set the days or switch it off in Settings → Emails.
Receipt When you email a receipt from the POS desk.

Before and after the stay

Email When it goes Default
Pre-arrival reminder A set number of days before check-in, with your site's details and your own message: directions, check-in instructions, the WiFi password. Off. Switch on in Settings → Emails, choose the days (2 by default) and write the message.
Post-stay thank-you A set number of days after check-out, with a link to leave a review if you collect reviews. Off. Switch on in Settings → Emails; 1 day after check-out by default.
Review invitation A set number of days after check-out, inviting the guest to review their stay. Off. Switch on from your Reviews page; 3 days after check-out by default. A reminder can be sent from the same page for any invitation that went unanswered.

Messages you write yourself

  • Message a guest from their guest page. The email carries your words with the booking reference and dates underneath, and the guest replies straight to you.
  • Reply to an enquiry from your Enquiries page. The reply goes to the person who asked, with their question quoted.

Emails you receive

  • New booking for every booking made, with the guest's details. On by default; switch off in Settings → Emails.
  • Guest changed their booking whenever a guest edits online. Always sent.
  • New enquiry from your website or the campsite directory, and a reminder two days later if it's still unanswered.
  • A review has been left when a guest submits one, and when your approved reviews pass a milestone.

Where replies go, and what language

Every guest email is sent from Campiamo's address but shows your site's name, and the reply-to is the email address on your property settings. Replies land in your inbox like any other mail.

Emails go out in your property's language: English, Spanish, French, German or Italian. Dates and prices follow it too.

What you can't change

The wording of the automatic emails is ours, with your details filled in; only the pre-arrival message is written by you. If a guest gives you a wrong email address, nothing arrives and nothing tells you until they ask, which is what the email log is for on the Professional plan: every email above with its delivery status.
