Group bookings

Let a family or a club book several pitches, or pitches and cabins, together in one checkout with one payment and one confirmation.

Last updated October 25, 2026

A group booking is several pitches booked together by one guest: two grass pitches and a camping pod for a family weekend, or six vans from the same club. The guest books once, pays once and receives one confirmation. On your side every pitch is still its own booking, so the calendar, availability, pitch numbers and reports work exactly as they do for any other booking.

Group bookings are available on the Growth plan and above, and they are off until you switch them on.

Switching it on

Go to Settings → Payments → Group bookings and tick Let guests book several pitches in one booking. From then on your booking page and your booking widget show an Add another pitch button under the party details once the guest has chosen dates and a first pitch type.

Leave it off and nothing changes: guests see the single-pitch form they see today.

What the guest sees

  1. They choose their dates and a pitch type, and enter who is on that pitch, as usual.
  2. They press Add another pitch, choose a type for it and enter its party. They can add up to ten pitches, mixing types freely. A type that has no units left for those dates cannot be chosen.
  3. The price box lists each pitch with its own price and shows one total. Extras, a club membership and a discount code apply to the booking as a whole.
  4. They enter their details once and pay once. The deposit is worked out on the group total; a fixed deposit is charged once, not once per pitch.
  5. They receive one confirmation listing every pitch.

All pitches in a group share the same arrival and departure dates. A party that arrives on different days makes separate bookings.

What you see

Each pitch appears on your calendar as its own booking with its own reference. Open any of them and a Group booking panel at the top lists every pitch in the group, the group total, what has been paid and what is still due.

The first pitch is the main booking. It carries the deposit, the balance and every email to the guest, so a payment link, a balance reminder or a pre-arrival email goes out once for the group. The other pitches show a note pointing to the main booking, and payment actions on them take you there. A payment taken at the till against any pitch in the group counts towards the group.

You can still assign a pitch number, add notes, check in and check out each pitch separately. Dates, pitch type and party cannot be edited one pitch at a time, because the pitches were priced and paid together.

Cancelling

Cancelling one pitch of a group leaves the rest standing and reduces the balance still owed. To cancel everything at once, use Cancel whole group on the group panel: every pitch is cancelled and the guest is emailed once. The main booking cannot be cancelled on its own while other pitches in the group are still live.

Refunds work as for any booking: from the payments list on the main booking.

Discount codes and tourist tax

A discount code is checked against the group's combined stay, so a minimum spend counts the whole party, and it is redeemed once. The amount is shared across the pitches in proportion to their price.

Tourist tax is worked out per pitch from the people on it, and the confirmation shows the total for the group.

Troubleshooting

The guest says there is no Add another pitch button. Check the switch under Settings → Payments, and that your plan is Growth or above. The button only appears once dates and a first pitch type have been chosen.

A pitch type is greyed out when adding a pitch. Every unit of that type is taken for those dates, counting the pitches already in the group.

The guest wants different dates for one pitch. Group bookings share dates. Take that pitch as a separate booking.
