Prices and seasons
How a booking's price is worked out: base and seasonal rates, minimum stays, per-person charges, packages, extras, deposits and the balance, and what the settings for each look like.
Last updated October 22, 2026
Every price a guest sees is calculated on our side from your settings, night by night. This guide follows that calculation from the pitch type's base rate through to the deposit, and says where each setting lives. It assumes you have read Pitch types.
Two ways to price a pitch type
Each pitch type is priced in one of two modes, chosen on its edit page:
- Per night (the default). A base price per night, optionally different in each season. A stay costs the sum of its nights.
- Flat rate per stay. One price for the stay. Optionally say how many nights the price covers and what each extra night costs: a £300 package covering 4 nights with £60 a night after that makes a 6-night stay £420. A stay shorter than the package still pays the full package price. Flat-rate types ignore seasons.
Giving a flat-rate type the same minimum and maximum nights turns it into a fixed-length package: the guest picks an arrival date and the departure date fills itself in.
Seasons
Seasons are date ranges you name: High Season, Easter, Bank Holidays. They are set once for the campsite under Settings → Seasons with a start and end day of the month, and they repeat every year, so a 1 July to 31 August season is the same next year without you touching it. A season may run over the year end (say, 20 December to 5 January).
Seasons hold no prices themselves. The prices go on each pitch type: the Seasonal Rates table on a pitch type's page has a row per season with a price per night and a minimum nights. Leave a price blank and the base price applies in that season.
Three things to know:
- Do not overlap seasons. If two seasons cover the same date the one created first wins, and the breakdown shown to guests can disagree with the price charged. Give each date one season.
- A seasonal minimum stay needs a seasonal price. If you only want a longer minimum in a season and the price is the same, type the base price into that row again. A row with a minimum but no price is not saved.
- Nights not in any season are charged at the base price and labelled "Low Season" on the guest's breakdown.
Seasons are the only way to vary price by date. There is no separate weekend or day-of-week rate: to charge more or insist on two nights at weekends, make a short season for each weekend you care about.
Minimum and maximum stays
A pitch type has a default minimum (and optionally a maximum) number of nights. Each season can raise the minimum for its dates. For a stay that crosses seasons, the highest minimum of any night in the stay applies. These rules apply to bookings you enter on the dashboard too.
Charging per person
A per-night price covers a number of people. On the pitch type's page, Extra Charges lets you say how many adults, children and dogs the price includes and what each one beyond that costs per night. Leave "included" blank and everyone is included, so no extra is ever charged.
Per-person rates are the same in every season; only the pitch price changes with the season. Infants are never charged and never counted. Who counts as a child or an infant is set under Settings → Payments (see Age bands).
On a flat-rate type the per-person charge is applied once per stay rather than per night.
To sell a pitch type purely per person, make the pitch price cover one adult and charge for each additional one, as described in Pitch types.
Extras
Extras are optional add-ons the guest picks at checkout: firewood, a hire tent, breakfast. Each is priced per booking, per night, or per person per night (with its own child price). They are added to the stay price before any discount. See Booking extras.
What a booking's total is made of
In order:
- The pitch price, night by night from the base and seasonal rates (or the flat rate).
- Extra adults, children and dogs beyond those included.
- Extras the guest chose.
- A club membership fee, if you take one at booking.
- Tourist tax, if you collect it with the booking (Growth and above).
- Minus a discount code, or replaced by a custom price you set on a dashboard booking.
A gift voucher does not change the total; it pays part of it.
A worked example. Base price £20, High Season (1 July to 31 August) £30, price includes 2 adults, extra adult £5 a night, child £3 a night, dog £2 a night. A family of 3 adults, 2 children, an infant and a dog arrives on 29 June for 4 nights:
| Pitch: 2 nights at £20 + 2 nights at £30 | £100 |
| 1 extra adult, 4 nights | £20 |
| 2 children, 4 nights | £24 |
| 1 dog, 4 nights | £8 |
| Infant | £0 |
| Total | £152 |
A 10% discount code would take £15.20 off. A tourist tax collected with the booking is added after the discount and is never discounted.
Dynamic pricing (Professional and above)
Under Settings → Payments → Dynamic pricing you can raise or lower a pitch type's nightly price according to how full that type already is on a date. Each rule says "at this occupancy or above, multiply the price by this": 80% booked, price × 1.2, for instance. Rules are read top to bottom and the first that matches is used, so put the highest occupancy first. It applies per night to per-night types; flat-rate packages are not affected.
Custom price on a booking (Growth and above)
When you enter or edit a booking on the dashboard you can type an agreed price instead of the calculated one. The usual price is kept on the booking for reference and any discount code is dropped. Tourist tax, if collected with the booking, still goes on top. Clear the field to go back to the calculated price. See Managing bookings.
Deposits and the balance
Settings → Payments has the payment schedule:
- Full payment at booking, or a deposit as a percentage of the total (1% to 99%) or a fixed amount. A fixed deposit larger than the total is capped at the total.
- Final payment days: how many days before arrival the balance is due. The balance is not taken automatically; the guest gets reminder emails with a payment link at the intervals set under Settings → Automated Emails, and on the day of arrival an unpaid balance is marked as payable on arrival.
- Late bookings: a booking made inside the final-payment window is "late". You can refuse late bookings altogether, or accept them and require the full amount up front. Refusing them applies to dashboard bookings as well.
The deposit is calculated on the discounted total, including any tourist tax collected with the booking. If no payment provider is connected, nothing is collected and the whole amount is payable on arrival.
When prices change
A booking keeps the price it was made at. Changing the base or seasonal rates affects new bookings only. The exception is editing a booking: if you change its dates, pitch type, party or extras it is re-priced at today's rates, unless it has a custom price. The tourist tax amount is fixed when the booking is made.
Where guests see prices
The booking form, hosted booking page and directory quote the exact total with a breakdown before the guest pays. The "from" price on website listings and in the directory is the pitch type's base price, so a type whose cheapest rate is a seasonal one shows its base price, not the seasonal one.
Prices are entered and charged exactly as you type them. There is no separate VAT or tax calculation, so enter the price the guest should pay.
