Exporting arrivals

Download a spreadsheet of who is arriving between two dates, with the columns you choose: for the warden's clipboard, the reception tablet, or a quick look at what is owed.

Most sites still want a list on paper or on a phone: who arrives today, which pitch they are on, how many are in the party, and whether they owe anything. Export arrivals gives you that list as a CSV file in a couple of taps. You will find the button in two places: on the calendar next to the month, week and list buttons, and at the top of the bookings page.

Choosing the range

The export covers every booking whose arrival date falls between the two dates you pick, one row per booking, sorted by arrival date and then pitch type. It defaults to today and the next two months, so for most sites the default is simply "everything coming up". Change the dates for a single weekend, the whole of August, or the rest of the season. A range can be up to a year long.

If you have more than one pitch type, you can also limit the sheet to one of them. A warden who only looks after one field gets only that field.

Cancelled bookings are left out. Pending bookings, such as pay-on-arrival bookings you have not confirmed yet, are included and marked as pending in the status column.

Choosing the columns

Tick the columns you want and the sheet remembers your choice for next time. It is remembered against your login, so it follows you from the office computer to your phone. The choices are:

  • Booking: reference, status, booked on, and which channel it came from (your website, a widget, the dashboard, POS, a connected channel or an AI assistant).
  • Guest: name, mobile and email.
  • Stay: pitch type, arrival, departure and nights.
  • Party: total party, adults, children, infants (under two, taken from the children's ages you collect at booking) and dogs.
  • Money: total, paid, balance owed and payment status. Balance owed is the figure to collect at check-in.
  • Extras: one column for each active extra on your site, showing the quantity booked. A firebowl hire or a bag of logs gets its own cell rather than being buried in a note.
  • Booking questions: one column for each of your booking questions, so a group name or a vehicle registration is right there.
  • Club membership: for certificated sites, whether the guest gave a membership number or joined at booking, with the fee if one was charged.
  • Notes: the booking's notes, on one line.

The default set is the one a check-in sheet usually needs: reference, guest, mobile, pitch type, arrival, nights, party, adults, children, infants, balance owed, extras, booking questions, club membership and notes.

Opening the file

The file is a plain CSV named after your site and the dates, for example meadow-fields-arrivals-2026-10-01-to-2026-11-30.csv. It opens in Excel, Numbers, Google Sheets and LibreOffice, and on any phone. Column headings are in the language your dashboard is set to. Dates are written day/month/year and amounts are in your site's currency without a symbol, so they sort and add up properly in a spreadsheet.

Because it is a download rather than a live page, print it, hand it to a warden, or open it on a tablet at the gate. When bookings change, download it again. Nothing in the export changes the bookings themselves.
