Online check-in: traveller details before arrival
Let guests fill in the traveller registration the law requires (Spain first) on their phone before they arrive, so reception only has to check documents.
Last updated November 8, 2026
In Spain every accommodation, camper parks included, must record the identity details of everyone staying and report them to the Ministry of the Interior's SES.Hospedajes platform. Online check-in collects those details from the guest before they arrive, so at reception you only compare them with the documents.
Switching it on
Go to Settings → Online check-in and switch it on. From then on every confirmation email, confirmation page and pre-arrival reminder carries a Complete online check-in button. It is off by default, and nothing changes for your guests until you switch it on.
What guests fill in
The guest opens the link on their phone, with no login, and fills in one card per traveller:
- Name, surnames, sex, date of birth and nationality
- An identity document (DNI, NIE, passport or other) and its number for anyone aged 14 or over. DNI and NIE holders also give both surnames and the card's support number, which the Ministry's register requires
- Home address, postcode and country of residence. For a Spanish address the guest picks their municipality from the official INE list, narrowed by their postcode; everyone else types their town
- For minors, their relationship to the lead traveller
- A phone number or email for the lead traveller
- How the stay is being paid
The lead traveller's name and contact details are filled in from the booking. The guest can come back to the same link and correct anything until you verify it.
At reception
Open the booking. The Online check-in card shows whether the guest has completed it, how many travellers they listed and the payment method, and a Show traveller details link for the full set. Compare it with their documents and press Mark documents verified. After that the guest can no longer change it. If something was wrong, Undo verification reopens it.
If a guest has not completed it, Copy check-in link gives you the same link to send by WhatsApp or email.
How the data is kept
Identity details are stored encrypted and shown only on the booking page to your team. They never appear in exports, guest emails or the activity log. They are kept for three years after departure, which is what the law requires, and then destroyed automatically.
Your own copy
You are the data controller for these records, and the law's retention duty is yours. Settings → Online check-in → Your copy of the registrations downloads a CSV, one row per traveller, filtered by arrival date. Use it for the SES.Hospedajes upload, for an inspection, or to keep if you ever leave Campiamo. Every download is recorded in your activity log with who downloaded it and the date range.
If your account closes, the export stays available for 30 days and Campiamo then deletes its copy.
Reporting to SES.Hospedajes
Sending the records to the platform from Campiamo is coming as a Growth feature. Until then, use the booking page or the CSV export to complete the upload yourself within 24 hours of arrival, as the regulation requires.
Spain is the first country covered. Other countries with similar rules will follow.
