Your team: inviting staff and what each role can do

How to invite people to help run the campsite, the difference between the owner, admins and staff, how many people each plan allows, and what happens when someone leaves.

Last updated October 22, 2026

Everyone who works on the campsite should have their own login. It is safer than sharing one password, the booking history shows who did what, and reception takings are totted up per person. Team members are managed under Settings → Team.

The three roles

Owner Admin Staff
Bookings, calendar, guests, enquiries, reviews, payments list Yes Yes Yes
Reception POS: today's board, bookings, payments, shop Yes Yes Yes
Reception POS: takings, card readers, products, reversals Yes Yes No
Pitch types, extras, custom fields, discounts, website, widgets, channels Yes Yes No
Campsite settings: details, amenities, payments, emails, seasons Yes Yes No
Invite staff and admins, cancel invitations, remove staff Yes Yes No
Change roles, remove admins Yes No No
Subscription and billing Yes No No
Add another campsite Yes No No
Support tickets Yes Yes Yes

The owner is whoever created the account. There is exactly one, and the owner cannot be removed or demoted from the dashboard. If the campsite changes hands, open a support ticket and we move ownership for you.

Admins are owners in all but billing: they can change prices, settings and the website, and manage the team. Give this role to a partner or a site manager.

Staff are for reception and day-to-day work. They see the bookings, calendar, guests and payments, and can create and edit bookings, check guests in and out, take payments and send payment links. They cannot delete a booking, guest, review or enquiry, refund a payment, or export the booking list, and settings, prices and the website are kept out of their way.

Roles cover the whole account. If you have two campsites, a member has the same role on both.

How many people you can invite

Starter Growth Professional Enterprise
1 5 10 Unlimited

The owner counts as one, so Starter is a one-person plan and inviting a colleague is the most common reason to move to Growth. Invitations that have been sent but not yet accepted also count until they expire or you cancel them. The page shows how many seats are used.

Inviting someone

  1. Open Settings → Team.
  2. Enter their email address, choose Admin or Staff, and press Invite.
  3. They get an email with a button. The link is valid for 7 days.

What they see depends on whether they already use Campiamo:

  • No account yet: the link opens a short registration form with the campsite's name already filled in. They set a name and password and land on your dashboard.
  • Already have a login (for another campsite, say): they sign in with it and are added to your team. The same person can be owner of one campsite and staff on another, and switches between them with the campsite picker at the top of the left menu.

The invitation is tied to the exact email address you typed. If someone tells you the link does not work, the usual cause is that they are signed in under a different address, or the week has passed.

To send it again, simply invite the same address once more; the old invitation is replaced. If you are at your plan's seat limit, cancel the pending one first.

Changing a role or removing someone

Each member has a role dropdown and a Remove button on the Team page. Only the owner can change roles or remove an admin; admins can remove staff.

Removing someone takes effect from their next click. They keep their Campiamo login, so if they also belong to another campsite they still have that. Their name stays on the bookings and payments they handled.

Before you remove someone who used the reception tablet, make sure the tablet has sent everything it was holding: a tablet that has been offline queues payments until it reconnects, and anything still queued under a removed login is refused when it arrives.

What each person can set for themselves

Under the menu beneath their name, every member has a Profile page with their name, email address, password and the language they want the dashboard in. The dashboard language is personal: a French-speaking member sees French while the campsite's guests still see whatever language the campsite is set to.

The dashboard home page can be rearranged with Customize, and menu items hidden, per person. Everyone gets their own layout.

Who gets the emails

New-booking alerts, enquiries and the other campsite emails go to the campsite's contact email under Settings → Details, not to individual team members. If you want several people to see them, use a shared inbox or a forwarding rule at your email provider. Support ticket replies go only to the person who opened the ticket.

Keeping it safe

  • Everyone should have their own login, especially on the reception tablet. Takings are recorded against whoever is signed in.
  • Choose Staff unless someone really needs to change settings. Staff cannot reach your payment provider keys or your subscription, and cannot refund money or delete records.
  • Remove people the day they leave. There is no "log out everywhere" yet, so removal is the way to end their access.
  • The owner's login is the account. Use a strong password on it and keep the email address current, because that is where password resets go.
